Optical shops

Optical shop software, from the prescription to the pair.

92health runs an optical shop: the spectacle prescription from the clinic, the order on a board from the lab to delivery, the advance against it, the counter, the frame stock and the discounts that need a manager.

The orders board

How it works01

One pair of glasses, from Rx to delivery.

Each step is a screen built for the person doing it. Scroll through them in the order a pair is made.

  1. From the clinic

    Prescriptions to triage

Spectacle prescriptions from the clinic land in a queue with the powers for each eye. The optician accepts one onto the board, holds it, marks it urgent or records that no order was placed, and can print the prescription first.

  2. Orders

The board, to start to ready

Each order moves across four lanes: to start, ordered, at the lab and ready. Every move is confirmed and can be undone, the date of each stage can be corrected, and a job ticket prints for the lab.

  3. Advances

The advance, and the balance at delivery

The advance is taken with the order on its own receipt, and can be dated to the day it was paid. At hand-over the balance is collected and the GST invoice raised for the whole order.

  4. Counter

Bills in tabs, discounts with a cap

The counter bills in tabs with barcode scanning, credits each sale to a salesperson and refuses a sale with no stock behind it. A discount over the cap the shop sets for staff waits for a manager.

  5. Stock

    Frames, lenses and solutions

Stock covers frames, readymade glasses, lenses, contact lenses, solutions and accessories. A CSV import shows a preview before anything is written, price labels print with barcodes, and write-offs go through approval.

  6. Reports

    Collections and the salesperson sheet

Collections by day and payment mode, the GST summary, order value by salesperson and a monthly allowance sheet, with collections and bills as CSV.

Orders02
Frozen at the order

The prescription is frozen on the order, so the lab makes what was prescribed.

Each lens line keeps the powers it was ordered with, the PD included, so a later refraction cannot change a pair that is already at the lab.

Cancelling an order first shows what it will undo: the stock put back, the advances to refund and the clinic visit left to settle.

  • Powers and PD frozen for each eye on every lens line
  • The lens type asked for, never assumed
  • A lab chosen for each line
  • Order numbers that carry on from the shop's paper book

The rest of 92health, on the same record.

The eye clinic, the approvals and the books run on the same system, so a prescription is written once and a patient registered once.

Plain answers04

Questions optical shops ask.

Do prescriptions come over from the eye clinic?
Yes, when the clinic is on 92health. Each spectacle prescription arrives in the shop's queue with the powers for each eye, and accepting it puts it on the orders board.
Can we track orders sent to the lab?
Each order sits in a lane, to start, ordered, at the lab or ready, with the date it entered each stage and a job ticket for the lab.
Can staff give discounts?
Up to the cap the shop sets for staff, managers and owners. A larger discount waits in the approvals queue, and the bill cannot be closed until it is decided.
How long does it take to go live?
Usually within a week. We set up the stores, staff, prices and opening stock with your team, import your registers and stock from spreadsheets, and train the counter staff in a few hours.
Do you work with optical shops outside Chennai?
Yes. It runs in the browser, so an optician in Coimbatore, Madurai, Trichy, Tirunelveli, Visakhapatnam, Vijayawada, Guntur or Nellore works on the same system as one in Chennai, and a fitting lab on 92health receives the shop's orders on its own board.
